2. Hosting and Log Data

This landing page is hosted on servers of IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany (web hosting service provider). Every time you visit the site, your browser automatically transmits technical information to our server (e.g., IP address, date and time of the request, URL accessed, browser type, and operating system). This data is stored in log files to ensure the stability and security of operations.

The legal basis for this processing is Art. 6 (1) lit. f GDPR (legitimate interest in the technical provision of the website and IT security). A data processing agreement pursuant to Art. 28
GDPR is in place with IONOS SE.

3. Registration for the Event (Registration Form)

We provide an online form on the landing page for event registration. As part of the registration, we process the following data in particular:
– First name, Last name
– Business affiliation/Company (e.g., employees, family & friends)
– E-mail address
– Optional: Name and age of the child or first and last name of an adult accompanying person.

This data is used exclusively for the purpose of planning, organizing, and executing the event, for admission control, and for communication in connection with the event. If information about children is provided, this is done by the legal guardian for the purpose of the child's participation in the event (e.g., for age group classification and compliance with safety regulations).

The legal basis for the processing of mandatory information is Art. 6 (1) lit. b GDPR (performance of the participation contract and pre-contractual measures in the context of event registration). Insofar as you provide voluntary additional information (e.g., regarding accompanying persons), the processing is based on our legitimate interest in the optimal organization of the event (Art. 6 (1) lit. f GDPR).

Recipients of the data are exclusively internal departments of B&B HOTELS Germany GmbH and, if applicable, other companies of the B&B HOTELS Group entrusted with the preparation and execution of the event, as well as service providers engaged by us (in particular our event agency, IT and hosting service providers, event or security service providers) who act within the framework of data processing agreements according to Art. 28 GDPR.

Data will only be disclosed to authorities if we are legally obliged to do so. A transfer to third countries outside the European Union or the European Economic Area is not planned. Should such a transfer become necessary in individual cases, it will only take place in compliance with legal requirements (in particular Art. 44 et seq. GDPR).

We store your registration data for the duration of the preparation and execution of the event as well as for an appropriate follow-up period (e.g., to process inquiries). After that, the data will be deleted unless legal retention periods (e.g., tax or commercial law requirements for any billing-relevant transactions) prevent this.

4. Photo and Video Recordings during the Event

During the event at the MEWA Arena, Mainz, photo and video recordings may be made by photographers or service providers commissioned by us. These recordings may show people participating in the event.

The recordings are used for the purposes of internal and external communication, reporting on the event, and documenting the event (e.g., on the intranet, in newsletters, in presentations, or on official social media channels of B&B HOTELS). The legal basis for this processing is Art. 6 (1) lit. f GDPR (legitimate interest in visual reporting on corporate events). Insofar as necessary in individual cases, additional consent may be obtained (Art. 6 (1) lit. a GDPR).

If you do not wish to be photographed or filmed, you can inform the photo/video personnel present. You may also object at any time to the use of recordings in which you are recognizably depicted for reasons arising from your particular situation. An informal notification to datenschutz@hotelbb.com indicating the recording concerned, if possible, is sufficient for this purpose.
